About the Role

Advanced Care Veterinary Hospital is currently seeking candidates for a full-time Receptionist to join our exceptional team.  If you have a "can do" attitude with an outgoing personality, we may be looking for you! 

We are a thriving small animal and exotic practice committed to providing high-quality medicine and surgery, with clients and patients from all over the region.

Advanced Care is located on the outskirts of Tulsa, near Jenks, Sapulpa, and Glenpool.  We currently have four full-time veterinarians who work closely with highly trained support staff in a friendly and fast-paced environment.  Our facility is complete with a large surgical suite, dental suite, ultrasound, digital x-ray, digital dental x-ray, in-house laboratory, therapeutic laser, underwater treadmill, and much more.  We also offer chiropractic, acupuncture, and rehabilitation services, allowing us to provide inclusive care for our patients.  We strive to build client and community relationships while practicing the most current medicine possible. 

Position Summary:

The Veterinary Receptionist works both independently and in coordination with other staff, interfacing with clients and completing the tasks required to assist clients by answering calls, setting appointments, greeting clients and getting them to the appropriate location for exams or treatment, handling invoicing and receipts, and general office duties.  This position may also include cross-training in other areas.

Primary duties include but are not limited to:

  • Greeting and interfacing with clients
  • Completing tasks required to assist clients by answering questions, calls, setting appointments
  • Getting clients in and out, including handling invoicing and payment receipt
  • General office duties including cleaning the reception area
  • Assisting clients with getting weights and recording in practice management software, loading/unloading, and dropping off dogs
  • Filling prescriptions and merchandise sales
  • Client calls for reminders, follow-ups, responding to client emails, and other various calls or communications
  • Filing insurance claims for clients and other business-related paperwork
  • Scanning data into client records
  • Accepting and signing for incoming mail and packages
  • Other reception duties as assigned or needed

 Secondary duties include but are not limited to:

  • Assisting vet techs and/or veterinarians as needed
  • Assisting with inventory check-in storage
  • Opportunities to shadow and learn other positions within the hospital
  • Any other duties as assigned by management

QUALIFICATIONS & SKILLS:

  • Applicant must be interested in working with and around small animals. 
  • Preference will be given to applicants with prior customer service/reception experience in a fast-paced environment.
  • Preference will be given to applicants with previous experience in animal care.
  •  
  • Seeking strong team players who can foster a work environment that is productive and conducive to respectful rapport with all team members.
  • Excellent written and verbal communication skills along with basic computer skills.
  • Ability to be on your feet for extended periods with physical labor; visual acuity, bending and lifting are required.
